    Sysmo Inc. ("Sysmo," "we," "us," or "our") hereby establishes this Privacy Policy regarding the handling of personal information we obtain, and endeavors to protect such personal information in accordance with the Act on the Protection of Personal Information of Japan ("APPI") and other applicable laws.

    01. Collection and Purposes of Use of Personal Information

    We collect and use personal information appropriately, within the scope necessary to achieve the following purposes of use.

    (1) Information of individuals who make inquiries or request materials through our website

    • To respond to inquiries and for related administrative communications
    • To provide information about our services (including new services)
    • To provide information about campaigns and events we conduct, and for other sales activities
    • To improve our services and to plan, research, and develop new services
    • For other operations related to the above

    (2) Information of job applicants

    • For recruitment screening and related communications
    • For communications and procedures related to onboarding
    • For other operations related to the above

    (3) Information of our officers and employees

    • For business communications or emergency contact
    • For calculation and payment of salaries and other compensation
    • For labor management
    • For social insurance procedures, tax procedures, and other procedures required by law
    • For other appropriate business operations

    02. Outsourcing of Personal Information Handling

    We may outsource all or part of the handling of personal information to the extent necessary to achieve the purposes of use. In such cases, we require that the outsourced party manage personal information appropriately.

    03. Restrictions on Use of Personal Information

    We will not handle personal information beyond the scope necessary to achieve the stated purposes of use without the consent of the individual concerned, except as permitted by the APPI or other applicable laws. However, this does not apply in the following cases:

    (1) When necessary for the protection of the life, body, or property of an individual, and it is difficult to obtain the consent of the individual concerned.

    (2) When particularly necessary for improving public health or promoting the sound growth of children, and it is difficult to obtain the consent of the individual concerned.

    (3) When it is necessary to cooperate with a national government agency or local public entity in executing affairs prescribed by law, and obtaining the consent of the individual concerned could impede such execution.

    04. Proper Acquisition of Personal Information

    We acquire personal information through proper means and do not acquire it through deception or other improper methods.

    05. Provision to Third Parties

    We will not provide personal information to third parties without the prior consent of the individual concerned, except as permitted under the APPI or other applicable laws. However, the following cases do not constitute provision to third parties:

    (1) When personal information is provided in connection with outsourcing all or part of the handling of personal information within the scope necessary to achieve the purposes of use.

    (2) When personal information is provided in connection with the succession of business due to a business transfer, corporate split, merger, or other similar reason.

    (3) When personal information is jointly used in accordance with the provisions of the APPI.

    (4) Other cases permitted by law.

    06. Provision to Third Parties in Foreign Countries

    As we operate internationally, your personal information may be transferred outside of Japan. In such cases, we endeavor to protect personal information by verifying the personal information protection systems in the destination country or implementing appropriate contractual safeguards, in accordance with the APPI.

    07. Security Control Measures

    We implement organizational, personnel, physical, and technical security control measures to prevent leakage, loss, or damage of personal information we handle.

    08. Procedures for Disclosure and Other Requests

    When we receive a request from an individual or their authorized representative for notification of the purpose of use, disclosure, correction, addition, deletion, suspension of use, erasure, or suspension of provision to third parties (collectively, "Disclosure, etc.") regarding retained personal data, we will respond appropriately and promptly within a reasonable scope in accordance with the APPI.

    If you wish to make a Disclosure request, please contact us using the information provided in Section 11. We may request identity verification documents to confirm your identity.

    09. Cookies and Similar Technologies

    Our website may use cookies and similar technologies for the purpose of improving user convenience and enhancing our website. Users may refuse to accept cookies through their browser settings; however, some features of our website may become unavailable as a result.

    If we use third-party services that transmit user information externally, we will update this Policy and describe the details of such services.

    We may change this Policy as necessary. Any changes will be announced by posting the updated Policy on our website.

    This Privacy Policy is provided in English. In the event of any discrepancy between the English version and the Japanese version, the Japanese version shall prevail.
